The next edition of Cosmoprof Worldwide Bologna will be held in Bologna from March 26th to March 29th, 2026.

EXHIBITOR MANUAL, SET-UP/DISMANTLING CALENDAR

The Exhibitor Manual contains all the information needed to design a proper set-up in line with the rules set by the exhibition fairground. We invite you to read it as some limits may change from year to year.

You will find the set-up/dismantling calendar in the exhibitor manual.

ADDITIONAL SET UP DAYS

To request additional days to build up your booth, please check the setting up days in the exhibitor's manual and fill in the early set-up form according to the hall.  

The form is to be sent back signed with the copy of the payment to [email protected]. Upon receipt of all the documentation, authorization will be sent to the early entry into the fairground.

HOW TO ACCESS THE FAIRGROUND

Badges for accessing the exhibition center with vehicles exclusively on setup and dismantling days are available on the PASS portal at https://cosmoprof.befair.eu/. 
 
To access and register as a stand builder, you must receive an assignment email generated directly by your client.

The BE.FAIR platform will allow you to download passes for people and vehicles that will need to access the fair district during set-up and dismantling day.

To request early setup: download the form available on this page, check the availability for your pavilion, make the bank transfer, and send the completed form to your sector's sales contact. You will receive a permit to present at the fair entrance

Each exhibitor needs to fill in and submit the Form 0, which you can find in the Be.Fair portal, to the email address [email protected]. It is necessary to communicate the type of set-up you are going to use. 
 
In case of non-standard set-ups, it is mandatory to send the stand design for approval to [email protected] by 16.02.2026. 
 
Please note: if you send the Form 0 after the deadline, a fee of €500 will be applied.

FORM 0 - Declaration of type of set-up to submit by 16.02.2026. If you send the Form 0 after the deadline, you will be charged a penalty of € 500.
FORM B1 - Declaration of correct execution of electrical system and set-up
FORM B2 - Declaration of electrical system conformity
FORM B3 - Declaration of correct assembly
FORM B4 - Declaration of correct installation of set-up materials
FORM B5 - Declaration of proper installation of the electrical system 
FORM H - Import notice MANDATORY for countries outside the EEC
FORM M - Disclosure on prevention of accidents at the workplace
FORM SR - Waste Management declaration

If you want to request hangings, please fill in the FORM A, which is available only for Halls 14 - 15 - 16 - 18 - 19 - 28 - 29 (partially)- 30 - 36 (partially) - 37 and must be sent by 16.02.2026 to [email protected].
 
All requests submitted after the deadline will be increased by 30% and will undergo a feasibility assessment.
